How do I book a speech for a future meeting?

Log in to easy-Speak and access your user profile (Click on 'Profile' at the top of the screen)

While you are there, take a quick look to make sure that your other personal data is up-to-date with the correct telephone numbers etc.

At the bottom of this screen you will see the Toastmaster Club(s) that you have visited and where you are a member.

The next section shows speeches that you have requested and the date that the Vice President of Education for that club has scheduled for you to make the speech.
Beneath this is a list of recent speeches that you have completed.
(If the speech date is coloured blue you may click on it to see the full agenda detail for that meeting.)

If you have 'speaking rights' at a club, a button 'Book a speech' is visible on the right of the screen.
Click on this and you will be asked to enter details of your speech.

Entering a speech is easy
- you need to show:
The workbook that you are using for this speech,
The assignment (eg 'Icebreaker'),
The title of your speech,
How long you need to prepare for it (eg you will be ready in two weeks time)

The workbook and assignment are selected from a pull-down of published Toastmaster manuals.

The first time that you schedule a speech, the system will ask you which workbook you are using at the moment. From then on it will continue to offer you assignments from that workbook.
If you wish to start another workbook you may do this from the same screen - and go straight on to request a speech from the new workbook.

If you are using more than one workbook, the system will present you with the choice when you request a new speech (until your VP-E marks one of the workbooks as 'completed').

If you wish to change any details of your speech you may do so by returning to this screen and clicking on the speech title.

The information that you enter for your speech is shown automatically in the agenda for the meeting.
Please note that you will not be able to change anything after the time set for 'no more changes' for the meeting.
(This is set by the club and is shown on the meeting e-mail sent to you asking that you confirm your speaking role)

If you wish to delete a speech from the queue, you may do this by clicking on the blue X at the far right of the screen. Please note that you cannot delete a speech which has been scheduled for a club meeting unless you first 'refuse' the speaking role.

If you have membership of more than one club using easy-Speak you will be asked if you want to specify the club for a new speech. If you select 'Any club' this speech will be available to be scheduled by the VP-E of all clubs where you have 'speaking rights'.

You may have several speech requests active at any time.
When the VP-E at each club is planning a meeting, requested speeches from all members are presented in the order that the request was made.
You may view the 'queue' of all requested speeches and the last fifty speeches presented at your club by clicking on the 'Speech' button that is shown on the agenda screen and the club user list.

If you have your VP-E's approval for presentation of a speech outside a Toastmasters meeting you may book the details of the speech using this screen and then ask your VP-E to confirm that the assignment has been completed.
(When your VP-E views your profile and the list of your scheduled speeches they have an additional icon next to any speech that has not yet been scheduled for a Toastmasters meeting - they may enter the date that the speech was delivered and the evaluator name from here)
